Use tags and custom fields
Group contacts with tags, store additional information in custom fields and use both in search, segments and campaigns.
Tags help you group contacts for your own workflows. Custom fields store information that is not covered by MailGraf's standard fields, such as a city, birthday or customer type. You can use tags and custom fields in searches, segment rules and campaigns.
Create and apply tags
Open Tags and click New tag
Enter a Name and click Save. The table shows how many contacts carry each tag.Apply the tag to contacts
For one contact, click Add tag in the profile's right-hand column, then find the tag or create a new one. For several contacts, select them on All contacts and click Contact actions > Add tag.Remove a tag
On the profile, click the X next to the tag. To remove it from many contacts, use the Tag operation on Bulk jobs with the direction Remove.
You can use tags in the All tags filter on All contacts, the Tag field in the segment builder and the Tags option on a campaign's Audience step. Deleting a tag removes the tag only. The contacts and their other details remain unchanged.
Create a custom field
Open Fields and click New field
Choose a Name and a Type
Choose the type that fits the information you want to store: Text, Long text, Number, Date, Yes / No, Phone, Dropdown or Radio choices.Add options if the type needs them
For Dropdown and Radio choices, enter each accepted value on a separate line in Options (one per line). Values submitted through forms or imports need to match one of these options.Click Save
MailGraf creates a permanent Key from the field name. For example, a field called City has the keycity. You can change the display name later, but the key remains the same.
Where fields appear
- The Fields tab on a contact profile and the Edit contact form.
- The column mapping list in a CSV import.
- The Custom fields group in the segment builder.
- The personalisation tag (merge tag) list in a campaign subject and in the editor. The field's key is used to insert the contact's value into the content.
- The Set a field value operation on Bulk jobs.
- As questions on forms.
If you delete a field, it is no longer available in forms, imports or new segment rules. Values that were already saved on contact records are kept.
Frequently asked questions
Tag or custom field?
Use a tag for a simple label such as VIP. Use a custom field when you need to store a value such as a city, birthday or preference.
Can I change a field's key?
No. MailGraf creates the key from the original field name and keeps it fixed. You can change only the name shown to users.
How many options can a dropdown have?
A dropdown needs at least one option and can contain up to 50.
