Edit and personalise text

Change text right in the email, format it, add links and show each recipient their own name.

You change text directly on the email. In the same place you format it, add links and show each recipient their own name.

Change the text

  1. Double-click a Heading or Text block

    The cursor appears inside the text and a toolbar opens above the block.
  2. Type or format

    Select the words you want to format, then click a toolbar button: Bold, Italic, Underline, Strikethrough, Text color, Highlight, Bulleted list, Numbered list or Emoji. To take formatting off again, click Clear formatting.
  3. Press Esc to finish

    Clicking outside the block also closes editing. MailGraf saves the change on its own.

Font, size, line height and alignment are not on the toolbar. Click the block once; these settings open in the left panel.

  1. Select the words to link and click Link

    The button is on the toolbar.
  2. Choose the link type

    For Web page, type the address starting with https://. For Email, type an email address; when the recipient clicks the link, a new message to that address opens. For System link, choose View in browser, Unsubscribe or Update profile.
  3. Click Apply

    To delete a link, click the linked word, then click Remove link on the toolbar.

Show the recipient's name

  1. Place the cursor where the name should go

    For example, type “Hi”, add a space and leave the cursor there.
  2. Click Insert tag

    The list shows First name, Last name, Email, Country and your own custom fields.
  3. Fill in If empty, use

    Type the word to show for contacts with no name on record, for example “there”. Fill this in before you click the tag.
  4. Click First name in the list

    The tag is placed in the text. At send time, each recipient sees their own name at that point.

In the editor the tag appears as {{first_name}}. To see the result, click Preview and pick a contact under View as.

What shows when the name is empty

If you leave If empty, use blank, a contact with no name on record gets an empty space in place of the tag, so the email reads “Hi ,”. Always fill it in.

Frequently asked questions

I double-clicked but the text does not open for editing. Why?

The footer at the bottom of the email is locked, so its text cannot be changed. On any other Heading or Text block, click the block twice in a row.

Which details can a tag insert?

First name, Last name, Email, Country and the custom fields defined in your account.

How do I check that a tag works?

In Preview, pick a contact under View as. You see that contact's detail in place of the tag. You can also send yourself a test email.
