Notify your team from an automation
Send your team a short notification email when a contact reaches a step you choose in a flow.
The Notify team step emails the addresses you choose when a contact reaches that point in a flow. Nothing goes to the contact; only your team hears about it. The step is in the Flow group of the left panel.
When to use it
- Hot interest: tell your sales team when a contact clicks your pricing link, so they can call the same day.
- New enquiry: when someone who filled in your lead form joins the list, let your account manager know.
- Key customer: tell the account manager when a contact gets the VIP tag.
- Follow-up: when a contact finishes the welcome series without opening any email, pass them to your team to reach by phone.
Create an automation has an example flow: a contact who clicks the pricing link in the second email gets the Hot tag and the sales team hears about it.
Add the step
Click Notify team on the automation canvas
The step is in the left panel and is added below the selected card. To place it somewhere specific, use the + between two cards. Click the new card to open its settings.Add the recipients
In the right panel, enter an email address in Recipients and click Add. You can add up to 10 addresses. To add several at once, paste them separated by commas.Write a note if you want one
In Note (optional), tell your team what to do. Personalisation such as{{first_name}}is filled in with the contact's details in the email.
What the email contains
The email comes from MailGraf, in your account language. The subject line shows the automation name and the contact's email address. Inside are the contact's email address, their name if you have it, your note and an Open contact button that opens their profile in MailGraf. To use the button, the recipient needs to be able to sign in to your MailGraf account.
Write the note as an instruction. For example: {{first_name}} looked at pricing. Call them today and offer a demo.
Daily limit
Your account can send up to 200 notification emails a day. Each recipient address counts as one email, so a step with 4 recipients runs for 50 contacts. Once the limit is reached the step is skipped and the flow carries on; the step's statistics show Skipped, daily limit reached.
Frequently asked questions

What happens when the daily limit is reached?
Your account can send up to 200 notification emails a day. Once the limit is reached, the step is skipped for that contact and the flow carries on with the next step. The step's statistics show how many contacts were skipped.
