Getting started

Set up your account

Work through the dashboard checklist, save your company details, fill in your profile and invite your team.

After you confirm your email address and sign in, MailGraf opens the Dashboard with a short checklist. This guide covers what that checklist expects from you and the three account basics around it: company details, your profile and your team.

The checklist on the dashboard

The dashboard shows a setup checklist until your account has contacts and a campaign. Its four steps sit under Get ready to send within Finish setting up your account:

  • Verify your sending domain: click Open settings to add a domain. See Add a sending domain.
  • Import or add contacts: click Add contacts to bring in a CSV file or add people by hand. See Create your first list.
  • Create your first campaign: click New campaign. See Send your first campaign.
  • Create your first automation: click New automation to set up a welcome flow. You can leave this for later.

A finished step shows Done. Once you have contacts and a campaign, the checklist gives way to the normal dashboard. The top banner says Sending is ready when the domain is verified. Otherwise, it says Sending needs attention.

Save your company details

MailGraf needs your company details before the first real send. They appear on your invoices and in the legal footer of your emails, so they must be accurate.

  1. Open Settings > Billing and choose the Company information tab

Until the details are saved, the page shows Complete your company details before you start sending. A counter shows how many of the fields are completed.
  2. Fill in the company fields

Complete Company name, Business email, Company website, Address, City and Country.
  3. Complete the country fields

For Turkey, District, Tax office and Tax number are required. Other countries require Postal code. Tick I do not have a VAT number when this applies.
  4. Choose where invoices go

In Invoice emails, enter one or more addresses separated by commas.
  5. Click Save changes

MailGraf confirms with Company information saved. Campaigns and automations can now be sent.

See Manage company and billing details for the full account and payment flow.

Fill in your profile

Your profile follows you across the MailGraf accounts you can access. Open the account menu at the bottom left of the sidebar and click My profile.

  • First name and Last name: how you appear to your team. Your email address is read-only here.
  • Interface language: the language of the app screens.
  • Account and access: your role in this account, when you joined and your last sign-in.
  • Manage password and security takes you to Security.

When you save, MailGraf confirms with Profile saved. The same menu switches the theme between System, Light and Dark, and holds Sign out.

See Manage your profile and security for profile and password steps.

Invite your team

  1. Open Settings > Users

The page lists everyone with access, their role and their recent sign-ins. The line at the top shows how many seats your plan includes and how many are in use.
  2. Click Invite user

In Invite a user, enter the person's email address and choose Admin, Editor or Restricted.
  3. Click Send invite

The person appears as Invited until they create a password. Existing MailGraf users join with their current sign-in details.

If Users is missing from the settings menu, your role does not include managing members. Ask an owner or admin.

See Manage users and roles for role and temporary access details.

Account name and time zone

The account name in the bottom-left menu and the account time zone are set when the account is created. They cannot be changed from the app; use the contact link at the bottom of this page.

Frequently asked questions

Do I need company details before I can send test emails?

No. Test emails work without them. MailGraf asks for company details before your first real send.

Who can edit company details?

Owners and admins. Other roles see the information but cannot change it.

Can I change the account name or time zone?

Not from the app. Both are set when the account is created. Use the contact link at the bottom of this page and support will change them.
