About MailGraf

What is MailGraf?

MailGraf is an email marketing platform for sending permission-based campaigns, running automations and collecting subscribers with forms, popups and landing pages. You design emails in a drag-and-drop editor, organise contacts in lists and segments, and follow the results in campaign reports. The app is available in English and Turkish.

Who is MailGraf for?

MailGraf is built for small and mid-sized businesses, online shops and B2B teams that email people who gave them permission. Teams that would rather hand the work over can use the managed service, where MailGraf designs and sends the campaigns.

Which company runs MailGraf?

MailGraf is a trading name of MailGraf Digital Ltd, registered in England and Wales under company number 13282175 and with the ICO under ZB250899. MailGraf has served customers in Turkey since 2016 and also works with customers in the United Kingdom.

About MailGraf

What is the difference between the MailGraf app and the managed service?

In the app you run everything yourself: you buy a yearly sending package, build your campaigns and send them. With the managed service, MailGraf takes care of template design, list management and campaign sending for you. The managed service is quoted separately from the standard subscription.

Pricing and payment

How much does MailGraf cost?

Yearly packages start at 30,000 emails. Choose Starter or Pro, then see the current price for your sending volume and currency on the pricing page.

How does MailGraf pricing work?

You choose how many emails you want to send in a year and whether you need the Starter or Pro feature set. Your sending credits are valid for 12 months, and automation emails count towards them too. The number of contacts does not change the price.

Is there a limit on the number of contacts?

No. Volume packages have no contact limit, so you can keep as many contacts and lists as you need. Only the emails you send use your package allowance.

What is the difference between Starter and Pro?

Starter includes 2 users, 2 active automations, 1 signup form, 1 landing page, API access and email support. Pro adds 10 users, unlimited automations, forms and pages, 5 popups, website tracking, send-time optimisation, sending waves, technology and location reports and priority phone support.

Compare plan allowances

Is VAT added to the price?

No. The price on the pricing page is the final amount, and no VAT is added at checkout.

Which payment methods can I use?

You pay by card, upfront for the year. Enterprise quotes can also be paid by bank transfer. Your invoice is issued and sent to you after payment.

What happens if I run out of sending credits?

You can buy extra sending credits or move to a larger package. The app shows the extra allowance and its price before you buy.

Manage your plan and credits

Does my package renew automatically?

Yes. Your package renews after 12 months at the list price on that day, and you can cancel the renewal at any time. If you upgrade during the year, you only pay the difference for the time left.

Do you offer an enterprise plan?

Yes. Enterprise is for more than 250,000 emails a year and is quoted individually. It can include a named account manager, managed campaigns, account migration support, a dedicated IP, sub-accounts and a custom SLA.

Free trial and getting started

Is there a free trial?

Yes. The trial gives you 14 days of Pro features with up to 250 contacts and 2,500 emails in total. Trial accounts can send up to 250 emails a day.

Do I need a credit card to start the trial?

No. You can sign up and use the trial without entering card details. Your account and data are kept when the trial ends, and you choose a package to keep sending.

How do I send my first campaign?

Create your account, set up a sending domain and import contacts who agreed to receive your emails. Then build the campaign in the editor, send yourself a test and send it straight away or schedule it.

Send your first campaign

Can I send from my own domain?

Yes. You can connect a subdomain of your brand, such as news.yourdomain.com, or start with a sending domain managed by MailGraf without changing any DNS settings. For your own domain, we recommend a separate subdomain for campaigns.

Add a sending domain

Switching from another platform

Can I move to MailGraf from Mailchimp or another platform?

Yes. Export your contacts as CSV files from Mailchimp, Brevo, Klaviyo or a similar platform and import them into MailGraf. Import your unsubscribed contacts separately so they stay excluded from campaigns. Contact us if you would like help with the move.

Import contacts from a file

Can I export my contacts?

Yes. You can download contacts as a CSV file: a single list or segment, or a wider export such as all contacts, unsubscribed contacts or blocked contacts. Only roles with permission to download contact data can export.

Export contacts

Deliverability and sending rules

Can I send cold emails or use a bought list?

No. MailGraf is only for emailing people who gave you permission. Purchased, rented or scraped lists are not accepted, and sending to them leads to account suspension.

Acceptable Use Policy

Are there daily or hourly sending limits?

Paid packages have no daily or hourly limit, so you can use your allowance on any day and at any hour. Trial accounts can send up to 250 emails a day.

What bounce and complaint rates are allowed?

Before a send, a free bounce test estimates your list's risk, and a list above an estimated 5% should be cleaned first. After a send, hard bounces of 5% or more put sending on hold for review and 10% or more stop it. For spam complaints, the levels are 0.1% and 0.5%.

Understand sending and list rules

Can MailGraf clean or verify my email list?

Yes. The free bounce test checks a sample and uses known results to estimate your list's risk. Full verification checks the list with verification credits and blocks invalid addresses. Verification shows whether an address is reachable; it does not replace permission.

Verify and clean your email list

Do you offer a dedicated IP?

Yes, as part of the Enterprise offer. Enterprise is quoted individually for more than 250,000 emails a year.

How are unsubscribes handled?

Every commercial email must include your company's legal name and an unsubscribe link in the footer. MailGraf also adds one-click unsubscribe headers. Unsubscribed contacts, hard bounces and spam complaints are excluded from future campaigns automatically.

Features

Does MailGraf include marketing automation?

Yes. You build flows on a canvas, starting from a list, tag, segment, form, page visit, email activity, custom event or another automation. Ready-made flows such as a welcome email series, a win-back flow and a hot lead follow-up are included. Starter runs 2 active automations and Pro has no limit.

Create an automation

Can I collect subscribers with forms, popups and landing pages?

Yes. Starter includes 1 signup form and 1 landing page, with popups as a paid add-on. Pro includes unlimited forms and pages and 5 popups. Newsletter signup forms always use double opt-in, and the confirmation is kept as a consent record on the contact.

Create a form

Can I A/B test my campaigns?

Yes, on Pro and above. An A/B test sends two versions of one campaign to a balanced split of your audience, including across mailbox providers. Compare their results in one report and use what you learn in your next campaign.

Run an A/B test

What reports does MailGraf provide?

Campaign reports show sends, opens, clicks, a click map, hard and soft bounces, spam complaints and unsubscribes, with bounce reasons and a breakdown by mailbox provider. Pro adds technology and location reports, combined campaign reports and a detailed report of bot clicks.

Read a campaign report

Does MailGraf have send-time optimisation?

Yes, on Pro. MailGraf uses previous open activity to estimate a suitable sending time for each contact and schedules the email accordingly. Pro also includes sending waves and quiet hours to spread out large sends.

Integrations, API and AI assistants

Does MailGraf integrate with Shopify, WooCommerce or my CRM?

Yes, through Zapier and n8n. Opted-in customers and paid orders from Shopify, WooCommerce or ikas can flow into MailGraf, and unsubscribes and bounces can update HubSpot, Pipedrive or Salesforce. MailGraf is listed in Zapier's app directory.

See integrations

Is there an API?

Yes. Every paid package includes the REST API and webhooks. You can manage contacts and lists, send events that start automations, read campaign reports and receive events such as unsubscribes and bounces. Campaigns themselves are sent from the app.

API documentation

Can I use MailGraf with ChatGPT or Claude?

Yes. MailGraf has an MCP server that AI assistants such as Claude and ChatGPT can connect to once you approve the connection. The assistant can review results, manage lists and prepare campaigns, and nothing is sent without your confirmed review.

Connect your AI assistant

Data, security and support

Where is my data stored?

Data in the MailGraf app is stored on servers in the European Union, hosted by Hetzner in Germany, and email is sent over MailGraf's sending infrastructure in the United Kingdom and the European Union. The managed service runs on ISO 27001 and CSA-certified infrastructure in Germany.

Privacy Policy

Does MailGraf help with UK GDPR and PECR?

You remain the data controller for your contacts, and MailGraf processes their data on your behalf. A Data Processing Agreement forms part of our terms, each contact keeps its consent record, and you can use double opt-in. You still need a lawful basis and valid consent under UK GDPR and PECR.

UK GDPR email marketing guide

How many users can I add?

Starter includes 2 users and Pro includes 10. Admins can access every area, while Editors can manage contacts and content but cannot send, export or change settings. Larger teams and sub-accounts are available with an Enterprise quote.

Manage users and roles

What support do you offer?

Starter includes email support and Pro includes priority email and phone support. The help centre has step-by-step guides for every part of the app. If you would like MailGraf to set up your account or run your campaigns, that is available as a separate service.
