Export contacts and manage bulk jobs

Download your contacts as CSV and create saved bulk jobs that apply one change to many contacts at once.

Use Exports to prepare contact data as a CSV file. Use Bulk jobs when you need to apply the same change to many contacts and save the task for future use.

Export contacts

  1. Open Exports and click New export

  2. Choose what to export

    Choose All active contacts, All contacts, Lists, Segments, Tags, Unsubscribed contacts or Blocked contacts. If you choose a list, segment or tag, select the specific one you need. The dialog shows how many contacts match your choice.
  3. Click Create export

    MailGraf prepares the export in the background. The status moves from Queued to Running and then Ready. When the file is ready, the Download button appears. The CSV file uses UTF-8 encoding.

To download a single list or segment directly, open its row menu. Choose Export CSV for a list or Export CSV for a segment. This prepares the file without adding it to the export queue. Export options appear only for roles with permission to download contact data. The Editor role cannot export contacts.

Create and run a bulk job

  1. Open Bulk jobs and click New job

  2. Define the job

    Give the job a Name. Choose Block list, Tag, List, Set a field value, Change permission or Delete contacts under Operation. For block list, tag and list operations, also choose whether to add or remove. Complete any additional fields required by the operation, such as the tag, list, field or new value.
  3. Choose the scope

    Under Apply to, choose All active contacts, All contacts, Lists, Segments or Tags. The dialog shows how many contacts match your selection.
  4. Click Create job

    The job is saved but has not run yet.
  5. Click Run

    Check how many contacts will be affected in the confirmation dialog, then click Run now. The status moves from Queued to Running and then Done. You cannot start the same job again until its current run has finished.

The row menu includes Edit, History, Duplicate and Delete. History shows the date and number of contacts affected by each run. Deleting a job also removes its history, but it does not undo changes made to contacts by earlier runs.

Delete contacts cannot be undone

The Delete contacts operation permanently removes all matching contacts. To run it, type DELETE in the confirmation box. This action cannot be undone.

The selection bar on All contacts applies a one-off action only to the contacts currently selected. A bulk job is saved with its name, operation and scope, so you can run the same job again later.

Frequently asked questions

Can I choose the columns in an export?

No. MailGraf exports a fixed set of columns in a UTF-8 encoded CSV file.

Does a bulk job run again automatically?

No. A saved job runs only when you click Run. Bulk jobs cannot be scheduled.

How do I download the blocked addresses?

In the New export dialog, choose Blocked contacts under What to export.
