Manage users and roles
Invite users, manage their role and access period, then remove access when it is no longer needed.
The Users page shows everyone who can access your account. Invite new users, adjust roles and set an end date for temporary access.
Invite a user
Open Settings > Users
The card at the top shows the seats included in your plan, seats in use and remaining seats.Click Invite user
Enter the user's email address in the dialog.Choose a role
Select Admin, Editor or Restricted.Set an access end date
Choose a date if access should close at the end of a particular day. Leave it empty for permanent access.Click Send invite
A new user receives an email to create a password. An existing MailGraf user joins with their current sign-in details.
Someone who has not completed the invitation appears as Invited. Open their row and click Resend invite if they need another email.
Choose the right role
- Admin can access every area, including account settings, users and sending.
- Editor can manage contacts and content but cannot send, export or change settings.
- Restricted can view reports only.
You cannot change the Owner's role from this page. You also cannot change your own account access.
Change or remove access
Click a user row. Under Account access, change the role or Access end date, then click Save.
To end access immediately, click Remove from account and confirm the action. This does not delete the person's MailGraf sign-in or affect other accounts.
Review account activity
Account activity at the bottom lists sign-ins, invitations, role changes and support sessions. Each entry includes its date, user, action and detail.
Permissions and seats
If Users is missing from Settings, your role cannot manage members. New invitations are also limited by the seats available on your plan.
Frequently asked questions
Can I give another user the Owner role?
No. The invite and role controls offer Admin, Editor and Restricted. Ownership cannot be transferred from these screens.
Does an invited user take a seat?
Yes. A pending invitation counts towards the seat allowance on your plan.
Does removing a user delete their MailGraf sign-in?
No. It ends access to this account only. Their sign-in and access to other accounts remain intact.
